SUGGESTED INSTRUCTIONS

FOR HOST CLUBS FOR FEDERATION DANCE 1. Open place of dance by 6:45 p.m. 2. Be a friendly host. Greet dancers before they enter the ticket line. Club members should mix with other dancers, whenever possible, throughout the dance. 3. Regulations permit decorations to be mounted with masking tape only. Caller’s table, platform, ticket and refreshment tables may be skirted or covered by the host club. 4. Collect money from dancers at door and turn in to the elected Treasurer of the Federation along with a completed HOST CLUB VOUCHER FORM. Teenage dancers (while still in high school) accompanied to Federation Dances by their parents are admitted FREE. Spectators, local area callers and cuers, elected Texas State Federation of Square and Round Dance officers, and local elected Federation Officers are admitted free. Donation- $7.00 per person at the door. Host club furnishes $100.00 for change for door admission. 5. Furnish suitable badge identification to designate paid dancers. (Ribbons, stickers, etc.) 6. Club may hold money-making project suitable to the occasion to raise money for their treasury. Three (3) gifts are suggested. The numbers drawn will be posted in the foyer and the winners may pick up their prizes at their convenience. 7. It is the responsibility of the Host Club to furnish coffee and tea during the dance and furnish all supplies pertinent to any refreshments. The Host Club may also place a container for donations on refreshment tables. The Host Club will retain any money received. The Host Club may not sell soft drinks as this is reserved for the Dance Center through the coke machine. The Host Club may use the ice from the ice machine. Check the week prior to the dance to ensure the ice has been taken out, bagged, and stored in e freezer section of the refrigerator. Host Club will furnish additional ice. GOOD LUCK on the above endeavor and we hope your club has profitable results with the concession. 8. Club will sell tickets for the HONEY POT as a money making project. The Host Club will receive 1/3 of the proceeds, the Winning Ticket will receive 1/3, and the Guest Clubs with highest number of members present and the Guest Club with the highest percentage of members present will split 1/3. A club representative should be available at intermission to receive the proceeds and allow the Photographer to take the picture. 9. FURNISH MASTER OF CEREMONIES. Notify Federation President or your District Vice President if unable to do so. The President or presiding officer just before beginning of Grand March provides an introduction list for the Grand March. 10. See that all squares are filled quickly EACH TIP, using flags, as needed. 11. Gather your club for a group photograph after intermission. Arrangements made with Photographer. 12. CONTACT the Executive Vice President prior to dance date to obtain key for the Dance Center. Report any damages found after the dance, to the Executive Vice President when you return the key…so that repairs may be made prior to the next dance. 13. SEE POSTED GENERAL CARE & MAINTENANCE INSTRUCTIONS ON BULLETIN BOARD. ENJOY HOSTING YOUR FEDERATION DANCE.Call on someone to help whenever and wherever you need.
